Stela is a workspace for sworn translators. Our users work with official documents that contain personal data, so we treat privacy as part of the product. This policy explains what we process, why, and what rights you have.
1. Who we are
Stela ("we", "us"), founded by Vlad Bez in Belgium, provides the website stelatranslate.com and the Stela workspace. You can reach us at vlad@stelatranslate.com.
2. Our role
For your account (your name, sign-in details and settings) we are the controller.
For the documents you upload and the personal data of your clients in them, you, the translator, decide why and how they are processed. You are the controller and Stela acts as your processor: we process those documents only to provide the service to you and on your instructions.
3. Data we process
- Account data: the name you sign in with, your password (stored only as a strong one-way hash, never in readable form), your settings and preferences.
- Documents and translations: the files you upload, the prepared pages, the readings, the translations and the files you export, together with the project history.
- Technical data: what is needed to run and secure the service, such as session data, sign-in attempts and error reports.
- Contact data: what you send us by e-mail, for example when you request early access.
- Website visits: our hosting provider processes standard connection data (such as IP address and browser type) to deliver the site and protect it against abuse. We do not use analytics or advertising trackers.
4. Why we process it
- To provide the workspace and the translation service you ask for (performance of our agreement with you).
- To keep the service secure, prevent abuse and fix errors (our legitimate interest in a safe and reliable service).
- To answer your messages and manage early access (your request, and our legitimate interest).
- To meet legal obligations where they apply.
We do not sell personal data, and we do not use your documents or your clients' personal data to train our system.
5. AI processing
Stela reads and translates documents with the help of AI models. When a document is processed, the pages and the text needed for that step are sent to the AI provider that performs it, only to produce your result. Each document is processed on its own, without reuse of other jobs. Every result is shown to you for review: you check, correct and confirm the translation before you sign it.
6. Who receives data
We use a small number of service providers, only as far as needed to run Stela:
- AI providers that read and translate documents (Anthropic, and depending on the step and configuration Google or OpenAI).
- Cloudflare for hosting and protecting this website and for e-mail routing.
- Google Fonts for the typefaces of this website (your browser loads them directly).
Some of these providers may process data outside the European Economic Area. We share no more than each step requires, and we never publish or sell documents.
7. How long we keep it
- Projects and translations stay in your workspace until you delete them. Deleted projects go to a trash from which you can restore them; you can ask us to remove them permanently at any time.
- Your account data is kept while your account exists and removed when you ask us to close it.
- E-mails are kept as long as needed to handle your request.
8. Security
Each translator has a closed workspace: every request is checked against the account, and no other user can see your documents. Passwords are stored only as strong hashes, sign-in attempts are limited, sessions are protected, and the service is reachable only through a closed gateway. We keep the processing of documents isolated and limited to what each step needs.
9. Your rights
Under the General Data Protection Regulation you have the right to access your personal data, to have it corrected or erased, to restrict or object to its processing, and to receive it in a portable format. Write to us and we will answer within one month. If your clients ask about their data in documents you uploaded, we will help you answer them.
You also have the right to lodge a complaint with a supervisory authority, in Belgium the Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données).
10. Cookies
This website does not use cookies for tracking or advertising. The Stela workspace uses one strictly necessary cookie to keep you signed in; it cannot be read by scripts and is not shared with other sites.
11. Changes
We may update this policy as Stela develops. The date at the top shows the latest version; for important changes we will inform users of the workspace.
